How to choose your NDIS plan manager

Navigating your NDIS plan and funding can be an arduous task, and it can be particularly time consuming if you’re new to the NDIS and still learning how things work. If you don’t have the time or resources to manage your own plan and budget, then a plan manager could be a great solution for you.

In this article, we will first look at the role and benefits of a NDIS plan manager and then focus on what strategies you can use to ensure you find the best plan manager for your needs.

What does an NDIS plan manager do?

Using a plan manager is one of the three ways you can manage your NDIS funding. Having a plan manager on your side gives you a similar level of control over your funding to self managing. The main difference is that your plan manager looks after the financial and administrative aspects of your plan for you. A plan manager will act on your behalf, in consultation with you to: 

  • Pay for invoices from your providers
  • Keep track of your spending
  • Assist with planning and budgeting

How can I find the best plan manager for me?

There are a number of ways you can find and connect with plan managers in your area, for example:

  • You can ask your local area coordinator or support coordinator for  recommendations 
  • You can reach out to other NDIS participants you know and ask for their experiences or recommendations
  • You can use the Provider Finder tool on the NDIS myplace participant portal
  • You can use online resources, such as MyCareSpace, to view plan managers that have been rated by and reviewed by others who have used  the service

There is a vast range of organisations out there that provide plan management services, starting from small accountancy firms all the way to large specialised organisations. Regardless of what size company you engage with for the service, it's important that you choose a plan manager that aligns with your goals and someone who will work hard to get the most out of your funding for you. Some other key qualities that make a great plan manager include:

  • Adequate credentials - your plan manager will be in charge of your funds so it’s important to ensure they have the right knowledge and necessary qualifications, such as: NDIS registration as well as bookkeeping or accounting certificates to manage your money well.
  • In-depth knowledge of the NDIS - your plan manager should have an expert level of knowledge about the NDIS so that they can provide you with valuable advice on how to make the most of your allocated budget. 
  • They're understanding - the best plan managers take time to understand your personal circumstances, your unique set of needs and goals and then use their skills to help you achieve the most out of your funding.
  • Trustworthiness - this is a fundamental quality to look for in a plan manager. It’s vital that you feel as though your plan manager has your best interests at heart, and that you can trust their advice and be comfortable giving them access to your NDIS funds. 

It’s also a good idea to ask plan managers questions related to their business and how they manage the service, for example:

  • How long have you been in business?
  • Is plan management your only focus, or do you provide other services too?
  • Who would cover for you when you’re on annual leave or off sick?
  • Can you meet my accessibility requirements?
  • Would I be able to track the invoices, balances, budgets?
  • Would you ask for my approval before paying an invoice?
  • How frequently will I receive my budget statement updates? 
  • How quickly do you pay providers?

Once you choose a plan manager that feels right for you, you’ll sign a service agreement outlining what services will be provided and over what period of time. If at any point you would like to switch to a different plan management provider, simply notify your current plan manager and they’ll prepare the details on your plan and support you with the transition.
