Job Applicant - Privacy Policy

Hireup Pty Ltd (Hireup) is committed to respecting and protecting the privacy of the information provided by you when applying for, or in connection with, your job application with us.  Hireup is bound by and complies with the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles (APPs) and other relevant privacy laws.

This Policy describes how we collect, use, store and disclose your information, including personal information (as defined in the Privacy Act), in connection with the recruitment process. 

By submitting an application for a position or otherwise providing us with personal information with respect to a job vacancy or potential employment position, you agree that this Policy will apply.  This Policy will not apply to any of the personal information that becomes part of your employee records should you be employed by Hireup.  

If you do not agree to your personal information being collected, held, used and disclosed during the recruitment process in accordance with this policy, we will not be able to continue with your application. 

This Policy does not form part of any contract of employment offered to candidates hired by Hireup.  It also does not replace the Privacy Policy which applies when you use our platform or visit our website or otherwise engage with Hireup. 

What personal information do we collect and hold?

We collect and hold the personal information that is necessary for us to manage our recruitment process, including:

  • name;
  • email address; 
  • phone number;
  • address;
  • education;
  • employment history;
  • resume;
  • references; and
  • results of any police or background checks.

We will not hold any notes taken during interviews. 

How we collect and store personal information

We may collect personal information directly from you, including from applications and documents that you submit to us and information you provide to interviewers during the recruitment process. We may also collect personal information from third party recruitment agencies, service providers, any police or background checks, LinkedIn, third parties you have authorised to deal with us on your behalf and from the referees you have given us permission to contact.

We will store personal information electronically and in hard copy form at our premises.  It may also be stored with our service providers. 

Use and disclosure of personal information

Your personal information will be used by us to consider your application for employment and manage the recruitment processes. If you are unsuccessful we may retain your personal information to contact you if a suitable position becomes available.

We may disclose the personal information to your referees, relevant hiring managers, our third party service providers and our clients as may be necessary to consider your application, manage the recruitment process, undertake police or background checks and/or to identify additional employment opportunities for you.

Some of the third party service providers listed above may be located overseas.

You agree, by accepting the application of this Policy, that we are not required to take reasonable steps to ensure the overseas recipient's compliance with the Australian privacy laws and are not liable to you for any breach of the Australian privacy law by these overseas recipients.

Access, update and correction of personal information

We take reasonable steps to ensure that the personal information we hold is accurate, complete and up-to-date. However, we also rely on you to advise us of any changes to the personal information.  

On request we will provide you with access to the personal information we hold, including for the purpose of correcting or updating that information, unless otherwise required or permitted by law. 

We may recover our reasonable costs of giving you access to the personal information but there is no charge for making the request.

If we refuse to provide you with access we will provide you with written notice that, at a minimum, outlines reasons for the refusal and the complaints mechanisms available to you. 

If you wish to access the personal information we hold or to update or correct it, you can contact us using the contact details provided below. We will require you to verify your identity and specify what elements of the personal information you require.

What if you have a complaint?

If you have a concern about how we have handled your personal information, please let us know so we can address the problem. Please contact our Privacy Officer using the below contact details.

Our Privacy Officer will investigate the issue and determine the steps that we will undertake to resolve your complaint. We will contact you if we require any additional information from you and will notify you in writing of the outcome of the investigation. 

If you are not satisfied with our determination, you can contact us to discuss your concerns or contact the Australian Privacy Commissioner via www.oaic.gov.au. 

Changes to this policy

We reserve the right to modify this Policy at any time in accordance with this provision. If we make changes to this Policy, we will upload the revised Policy to the Platform* Changes to this Policy will come into effect immediately upon such changes being uploaded on the Platform*. Your continued use of the Platform* following such upload will constitute your acceptance of any changes.
